End-of-term dinner invitation messages for student clubs

An end-of-term dinner invitation tells members what the dinner is, when and where it is, whether it costs anything, and asks them to reply by a date set a few days before the caterer needs a final number. Ask for dietary needs in the same message. Below are six messages a club executive can copy, and the practical steps around them.

What to include

  • The event. A catered dinner, a banquet, a potluck. Members plan differently for each, and a banquet may need a change of clothes.
  • Date, time and room.“Friday 27 November, 6:30 pm, Student Centre Room 204”. Campus buildings confuse first-years, so add a landmark.
  • Cost. Free for members, or what it costs and how to pay the treasurer. Say so up front.
  • The RSVP. A direct question and a date, with the reason: the caterer needs a number.
  • Guests. Whether members can bring a friend, and whether the friend pays. Ask them to say so when they reply, so the count is right.
  • Dietary needs.A short list with a “none” option.

Six invitation messages for club dinners

1. End-of-term club dinner

Hi Maya! 🍽️ You’re invited to our end-of-term dinner on Friday 27 November, 6:30 pm in Student Centre Room 204. Free for members. The caterer needs our number early, so please reply by Friday 20 November, and tell us any dietary needs (halal, vegetarian, vegan, allergies, or none).

2. Graduating members’ dinner

Hi Arjun, the executive would love to celebrate our graduating members at a dinner on Friday 19 March, 7 pm, at a restaurant near campus (details to follow). It’s on the club, as a thank-you for four years. Could you let us know by Friday 12 March if you can come?

3. Formal or banquet

Hi Chloe, our annual banquet is on Saturday 21 November at 6 pm in the Great Hall. Three-course dinner, awards and a photo booth. Dress: semi-formal. Seats are limited, so please RSVP by Saturday 7 November with your meal choice and any allergies.

4. Potluck social

End-of-term potluck! 🍲 Thursday 26 November, 6 pm in the club room. Bring a main, a side, a dessert or drinks, and please label anything with nuts. Reply by Monday 23 November with what you’re bringing, so we don’t end up with eight bags of chips.

5. A joint dinner with another club

Hi Daniel, the Engineering Society and the Chess Club are hosting a joint end-of-term dinner on Thursday 19 November, 6:30 pm in the Engineering atrium. Free for members of both clubs. Please reply by Thursday 12 November so we can give the caterer one number.

6. A reminder

Hi Leo, just checking you saw the invite for our end-of-term dinner on Friday 27 November. We give the caterer our number on Tuesday, so could you reply by Friday 20th either way?

Send the reminder only to members who have not answered, two or three days before the deadline. More wording is in RSVP reminder messages.

Set the RSVP date from the caterer’s date

The caterer sets your real deadline. Carleton’s campus dining service wants the guaranteed number two business days before the event, and takes your original estimate as the guarantee if you miss it (Carleton Dining Services). At the University of Toronto Mississauga, the campus caterer wants it three business days before, or seven for 300 guests or more (UTM Hospitality).

Ask your caterer for its date, then set the RSVP deadline two or three days before it. For a Friday 27 November dinner with a three-business-day guarantee, the caterer needs the number on Tuesday 24 November, so ask members to reply by Friday 20 November and remind on Wednesday 18 November. Hold the dinner before exams start, when members still read club messages.

When the deadline passes, message the last few members one to one. If the club has a group chat, one general reminder there is fine, as long as it names nobody.

Asking about dietary needs

A club dinner brings together members with a wide mix of needs. Ask the members who say yes, in the same exchange, with a fixed list and a “none” option:

Any dietary needs? Halal, vegetarian, vegan, allergies (please tell us which), or none.

Pass the counts to the caterer with the final number, and the allergy details word for word. More on the wording is in collecting dietary requirements.

Keep a dated list of who said yes

Save a copy of the list of yeses on the day you give the caterer its number. If someone asks later why you ordered 40 meals, the list answers them.

If your student union reimburses food costs, ask its finance office what records it accepts before the dinner. Do not assume an RSVP list is enough: it shows who said they would come. If your dinner has door check-in, the “checked in” column shows who came, and when.

Budget and next year’s executive

In Avently, the first 25 invitations each month are free, then the club pays per invitation sent, so a small club’s dinner can fit inside the free 25. The pricing page has the rates for anything bigger.

At the end of the year, the member list is the thing most likely to be lost when the executive changes. How to pass it on cleanly is in handing over a club contact list.

How this works in Avently

  1. Step 01

Build the dinner and add your members

Enter the event name, date, venue and organiser in the web wizard. Your guest list lives in your own Google Drive: Avently can create it, or you connect one you already keep. Up to 250 guests per event.

  2. Step 02

Each member gets their own invitation

Avently sends every member a WhatsApp message addressed to them by name, with the dinner’s name and date, Yes and No buttons, and a link to an event page with the venue and a map link. Members who say yes are asked your dietary question as a list to tap; members who say no are thanked and left alone.

  3. Step 03

You get a count before the caterer’s date

Every answer is written to your guest list as it arrives. From the dashboard you remind only the members who have not answered, at most twice each. Invitations and reminders do not reach US phone numbers, so invite members with a US number another way.

Common questions

What should a student club dinner invitation say?

What the event is, the date and start time, the room or restaurant, whether it is free for members, any dress code, and a clear request to reply by a set date. Ask for dietary needs in the same message, with a list that includes halal, vegetarian, vegan, allergies and none.

When should a club send invitations for an end-of-term dinner?

Two to three weeks ahead, and before exam season starts, when members stop reading club messages. Set the RSVP date a few days before the caterer needs its final number, so the executive has time to chase the members who have not answered.

How do we set the RSVP deadline for a catered club dinner?

Ask the caterer when it needs the final guaranteed number, then set your RSVP deadline two or three days before that. Campus caterers commonly want the number a few business days before the event, and some treat your first estimate as the final number if you miss the date.

How do we ask club members about dietary needs?

Ask only the members who say yes, and give a short list with a “none” option: halal, vegetarian, vegan, allergies (please specify), or none. The “none” option lets you tell members with no requirements apart from members who skipped the question.

Can an RSVP list be used for student union reimbursement?

Check with your student union first, because each one sets its own rules for what records it accepts. An RSVP list shows who said they would come. On a paid event, or a free one with door check-in added, the “checked in” column in the same sheet shows who came, with the time. Keep a dated copy either way: it shows how you arrived at the number you gave the caterer.

Should a club send the dinner invitation in the group chat?

Post it in the group if you like, but also send each member their own message asking for a yes or no. Replies in a busy group chat get lost, and the members who have muted the group never see the invitation at all.

Avently sends your club’s dinner invitation to each member on WhatsApp, collects the yeses and the dietary needs, and reminds only the members who have not answered.
