For associations

WhatsApp for associations: check members, coordinate outreach, confirm speakers

Avently checks join requests against your member list, warns volunteers when someone has already been contacted, and confirms each panelist’s slot. All three work in Canada and the US.

The problems

Join requests nobody can check

WhatsApp shows your admin a name and a photo, nothing about membership. Someone checks each request by hand, or nobody does.

Two volunteers, one speaker

Volunteers recruit from their own phones. The shared spreadsheet falls behind, and the same person hears from you twice.

Speakers confirmed one chat at a time

Slot times, arrive-by times and last-minute moves each take their own thread.

What Avently does

Member verification

What an applicant sees
JOIN MENTORS9:02
Thanks for asking to join Mentors Circle. Before we can add you, your membership account needs to be active.9:02
What email address will you activate with?9:02

Next day

You’re verified — the admin will add you shortly.10:15
  • A link in your group description opens WhatsApp with a join keyword, so applicants message you first.
  • Avently asks for the email they’ll activate with and sends your activation steps.
  • Paste your member export into the guest list. Avently marks the matches verified.
  • Unmatched applicants get a reminder every two days and lapse after seven.
  • Your admin approves verified requests in WhatsApp.
  • Works on Canadian and US numbers.

Team outreach

What a volunteer sees

Someone may already have contacted this person.

Amara Osei — contacted by Sarah on 2 Oct

  • Each volunteer gets a private page to add a contact and get a personal link to send.
  • If someone on the team already contacted that person, the page says who and when. The volunteer decides whether to go ahead.
  • Everyone sees the team’s list and each contact’s status. Phone numbers and other volunteers’ notes stay hidden.
  • Avently greets the contact by name, says who invited them and asks if they’re interested.
  • Works on Canadian and US numbers.

Panel events

What a panelist sees

Hi Sarah, confirming your slot for Mentorship Night. You’re on at Thu 6 Nov 2026, 6:15 PM, and we’d need you there by 5:45 PM. Does that still work?

Yes, confirmed

Yes, confirmed18:40
  • Your guest list holds each panelist’s slot and arrive-by time.
  • Each panelist confirms with one tap or replies with a better time.
  • Move a slot from the event page. Avently messages the panelist and updates your guest list.
  • Works on Canadian and US numbers.

  • Each guest gets a personal WhatsApp invitation with Yes and No buttons.
  • Guests who say yes get your follow-up questions and a link to the event page.
  • Up to two reminders go to guests who haven’t answered.
  • Avently writes each answer into your guest list as it arrives.
  • Not available for US numbers.

What it costs

Unlimited, from $79 CAD a month: member verification, team outreach and invitations, nothing per event. Set up by email.

Without it: the first 25 invitations each month are free, then you pay per invitation. See pricing.

What it doesn’t do yet

  • No integrations yet with Luma, Eventbrite, Wild Apricot or Google Forms. They’re on the way.
  • Your admin still approves join requests in WhatsApp.
  • Double-contact warnings don’t block anyone.
  • No invitations to US numbers.
  • No reminders on panel events.
  • No text-message fallback.
  • No check-in, attendance records, tickets or payments.
  • Up to 250 guests per event.
