How to verify members before admitting them to a WhatsApp group
Turn on WhatsApp’s Approve new members setting so every join request waits for an admin, then check each requester against your member list before you tap approve. Ask each requester for the email they registered with, match it to a current export of active members, remind the ones who have not activated yet, and close requests that stay unmatched after a week.

Why a members-only group needs a check
A WhatsApp invite link works for anyone who has it. Links get forwarded, posted in public directories and scraped, and a group that grows through its link alone ends up with people nobody on the committee recognises. Some are simply non-members. Some are not people at all: America’s investor watchdog, FINRA, warns that scammers add people “to encrypted group chats directly without any prior contact” (FINRA).
Membership also changes under your feet. Associations that sell annual memberships see a large share lapse at renewal. APPNA’s membership newsletter reported 4,884 members at the end of 2024 and 2,620 on 1 January 2025, because “at the beginning of the year, only lifetime members are active” (SUNO APPNA). A group that was all members in December is not all members in February.
WhatsApp’s own guidance for community admins is to review new participants and to “keep an eye on new members and remove anyone that should not be there” (WhatsApp). The rest of this guide is how to do that without it becoming someone’s second job.
Step 1: Turn on join approval
Open the group, tap its name to open Group info, then Group settings, and turn on Approve new members. The setting is off by default (WhatsApp Help Center).
With it on, anyone who opens the invite link sees that an admin must approve their request, and taps Request to join instead of joining. Admins are notified, and the requests wait on the Pending requests screen in Group info until someone approves or rejects them.
Turn it on in every group that should be members-only, including each group inside a community. One open group is enough to undo the rest.
Step 2: Decide what counts as proof
Pick the one thing your member platform can confirm, and ask everyone for the same thing. For most associations that is the email address the person registered with. Membership numbers work too, if members know theirs.
- Good proof: an email or membership number that appears in an export of your currently active members.
- Not proof:a WhatsApp profile name or photo, which the requester chooses; a name alone, which two members can share; “so-and-so told me to join”.
Check against active members, not everyone who ever signed up. On many member platforms an account can exist before it is approved or paid, so a person can have an account and still not be a member.
Step 3: Ask each requester, in one message
Message each new requester once, with everything they need to answer. Keep it short and say why you are asking, so a real member does not read it as suspicion.
Hi, thanks for asking to join the Young Physicians group. It’s for members only, so we check each request against our member list first. Could you reply with the email you registered with? If you haven’t activated your account yet, you can do that here: [link]. We’ll approve your request as soon as it shows up.
Put the same instructions in the group description, so people who read it before requesting arrive with the answer ready.
Step 4: Match against a current member list
Export your active members from the member platform and match each requester against it exactly: the email lowercased and trimmed, or the phone number in international format. Do not guess. A near-match (a different domain, a transposed digit) stays pending, and you ask again.
Keep the export fresh. Weekly is enough for most groups; daily during a membership drive or before a conference, when requests arrive in bursts.
Keep a log
A shared log stops two admins messaging the same person and shows who is stuck. One row per requester is enough:
- Phone number and name
- The email they gave you
- Status: pending, reminded, verified, or lapsed
- When they asked, when you reminded them, when they were verified
Step 5: Chase once or twice, then close
Most unmatched requests are real members who have not finished activating their account. A reminder after two days catches most of them. After a week, reject the request and tell them they are welcome to ask again once they have activated.
Hi, a quick reminder about your request to join the Young Physicians group. We haven’t been able to match you to an active membership yet. Once your account is activated here: [link], reply to this message and we’ll approve you.
Then approve everyone the log says is verified, and reject the requests it says have lapsed. That tap is the only step that has to happen inside WhatsApp.
Step 6: Re-check after renewals
Join approval only guards the door. Once a year, after renewals close, compare the group’s members against the new active list and message anyone who has not renewed before removing them. Removing a member without warning costs more goodwill than the check saves.

Can you approve people before they join a WhatsApp group?

Yes. A group admin can turn on the Approve new members setting in the group’s settings. It is off by default. Once it is on, anyone who uses the invite link sends a request instead of joining, and an admin approves or rejects each request from the group’s pending requests list.
How do I stop spam accounts joining my WhatsApp community?
