Google Forms vs WhatsApp for collecting RSVPs
Use a Google Form when anyone with the link may reply, when you need a long questionnaire, or when you have no phone numbers. Use WhatsApp when you have a set guest list and need a firm headcount: each guest is asked by name, answers in the chat, and you can see exactly who has not replied and remind only them.

The real difference: a link or a list
A Google Form starts from a link. Whoever opens it and presses Submit becomes a response. That is ideal when you do not know in advance who will reply, and awkward when you do.
A WhatsApp RSVP starts from a list. You know every guest, and each one gets their own message. Silence is visible, because every guest on the list either has an answer or does not.
Most of the choice comes down to that. If the question is “who wants to come?”, a form fits. If the question is “which of these 80 people are coming?”, a list fits.
When a Google Form is the right tool
- Open sign-ups. A form can be shared with anyone who has the link (Google Docs Editors Help). Post it in a newsletter or on social media and let people register themselves.
- Long questionnaires. Forms offers twelve question types, from short answer and dropdown to file upload, date and time (Google Docs Editors Help). You can split a form into sections and send people to a section based on a multiple choice or dropdown answer (Google Docs Editors Help).
- No phone numbers. If all you have is an email list, a form link in an email is the simplest route. Google can email the form to people when you share it (Google Docs Editors Help).
- No budget. A form made with a personal Google account costs the host nothing, and the responses can go straight into a spreadsheet.
When WhatsApp works better
- Your guests answer chats sooner than emails. If the people on your list reply to your WhatsApp messages faster than your emails, send the invitation there. A link in an email can sit unopened for days.
- You need to know who has not answered. With a list, every guest has a status. You do not have to match responses to names by hand to find the gaps.
- You want to remind only the people who have not replied. Guests who already answered are left alone, and nobody gets a reminder that makes them wonder whether their reply was lost.
- Answering has to be quick. Tapping Yes in a chat takes a second. Opening a form, scrolling and pressing Submit takes longer, and every extra step is a chance to put it off until later.
Side by side
| Question | Google Form | WhatsApp RSVP (Avently) |
|---|---|---|
| How guests get it | A link you send by email, post, or paste into any chat | A WhatsApp message to each guest, addressed to them by name |
| How guests answer | Open the link and fill in the form in a browser | Tap Yes or No in the chat, then answer any follow-up questions |
| Who has not answered | You compare the responses against your own list | Each guest has a status, so the gaps show on the dashboard |
| Reminders | You work out who to chase, then message them yourself | Sent from the dashboard, only to guests who have not answered |
| Long questionnaires | Built for it: many question types, sections and branching | Best kept to a few short follow-up questions |
| Phone numbers needed | No | Yes, one per guest |
| US guests | Anyone who can open the link | Avently invitations do not reach US phone numbers |

The question a form cannot answer
Google Forms shows you who responded. The Summary tab lists the people who answered, and the Individual tab shows each response in turn (Google Docs Editors Help). It has no way of knowing who you meant to invite, so it cannot show you who is missing.
To find the gaps, you need a name on every response and a guest list to check them against. Link the responses to a spreadsheet, put your guest list next to them, and mark off each match. Our guide to tracking RSVPs in a Google Sheet has the formulas. Watch for guests who type their name differently from your list, or answer twice.
A WhatsApp RSVP skips that step. The message goes to a phone number on your list, so the reply already belongs to a guest.
If you choose a Google Form, set it up like this
Make the name required
Without a name on every response, you cannot match replies to your guest list. Make it the first question and mark it required.
Think twice about Limit to 1 response
It stops duplicate replies, but with it on, each person must sign in to their Google Account to fill in the form (Google Docs Editors Help). Some guests will not have one, or will not want to use it.
Turn on notifications and a close date
Google can email you each time a new response arrives, and you can turn off Accepting responses or set a close date once your deadline passes (Google Docs Editors Help).
Put the deadline in the message, not only in the form
Guests decide whether to open the link from the message that carries it. Say the date there: “Please fill this in by Saturday 7 November so we can confirm numbers with the hall.” More wording is in how to politely ask guests to RSVP.
How this works in Avently
- Step 01
You build the event and the guest list
Enter the event name, date, venue and organiser in the web wizard. Your guest list lives in your own Google Drive: Avently can create it for you, or you connect one you already have. Up to 250 guests per event.
- Step 02
Each guest gets their own message
Avently sends every guest a WhatsApp message addressed to them by name, with the event name and date and Yes and No buttons.
- Step 03
The yeses answer your follow-up questions
Questions with two or three options show as buttons, four to ten as a list menu, and an open question takes a typed reply. The yeses also get a link to a mobile event page with the venue, a maps link and add-to-calendar buttons. Guests who say no are thanked and asked nothing more.
- Step 04
You remind only the guests who have not answered
Answers land in your guest list as they arrive and show on a live dashboard. From the dashboard you send reminders to the guests who have not replied, at most two per guest.
Avently invitations and reminders do not reach US phone numbers. If most of your guests are in the US, a Google Form link is the better choice. For the WhatsApp side in more depth, see how to collect RSVPs over WhatsApp.
Common questions
Can I use Google Forms to collect RSVPs?
Yes. Make a form with a required name question, a yes/no question about attending, and any follow-up questions, then share the link. Responses collect in the form’s Responses tab, and you can link them to a spreadsheet. The one thing a form cannot tell you is who on your guest list has not answered.
Is WhatsApp better than Google Forms for RSVPs?
It depends on the event. A Google Form suits open sign-ups, long questionnaires and guests you only have an email or a link for. A WhatsApp message to each guest suits a known guest list you want a firm headcount from, because every guest is asked by name and you can see exactly who has not replied.
How do I see who has not filled in my Google Form?
Google Forms shows the people who responded, not the people who did not. Ask for each guest’s name, or collect email addresses, then compare the responses against your guest list. Anyone on the list with no matching response is someone to chase.
Can Google Forms send reminders to people who have not responded?
Google’s help pages describe email notifications to the form’s owner when a new response arrives, not reminders to the people who have not answered. To remind them, find the gaps against your guest list and message those guests yourself.
Do guests need a Google account to fill in a Google Form?
Not always. You can share a form with anyone who has the link. If you turn on Limit to 1 response, Google asks each person to sign in to their Google Account before they can fill it in, which some guests will not want to do.
Can I send a Google Form link on WhatsApp?
Yes. A form link works in any chat, email or post. Guests tap it and fill in the form in their browser. Their answers go to the form rather than the chat, so you still compare the responses against your list to see who is missing.
Avently asks every guest on your list by name on WhatsApp, collects the answers in your guest list, and reminds only the guests who have not replied.
