Can WhatsApp Events replace an RSVP tool?

For a casual get-together inside one group, yes: WhatsApp Events records Going, Maybe and Not going, allows one extra guest each, and notifies the people who said Going or Maybe. It can’t invite anyone outside the chat, ask follow-up questions such as dietary needs, remind the people who haven’t answered, or give you a guest list to export. An RSVP tool like Avently keeps the answering inside WhatsApp, with each guest in their own chat, and adds follow-up questions, reminders to non-repliers and a guest list in Google Sheets.

What WhatsApp Events does well

Events is built into WhatsApp. You can create one in a one-to-one chat or a group (WhatsApp Help Center), and in a community group; in a community’s announcements, only admins can (WhatsApp Help Center).

  • The details in one card. A name, date and time, an end time, a location, a description of up to 2,048 characters and an optional WhatsApp call link (WhatsApp Help Center).
  • One-tap answers. People answer Going, Going with guest, Maybe or Not going. Going with guest appears when you turn on Allow guests (WhatsApp Help Center).
  • Notifications. People who answer Going or Maybe get a notification when the event begins, and when you edit it (WhatsApp Help Center). Since January 2026 you can also set earlier reminders (WhatsApp).
  • Easy to find. Upcoming events sit in the chat or group info, and the creator can pin one to the top of the chat until it ends (WhatsApp Help Center).

It’s free, nobody installs anything, and nobody leaves the chat to answer. For a group that already talks every day, that is most of what an RSVP tool does.

Where WhatsApp Events stops

Only people already in the chat

WhatsApp’s Help Center is plain about it: you can’t invite people who aren’t in the chat or group, and you can’t forward an event to another chat (WhatsApp Help Center). People only see events in groups they belong to (WhatsApp Help Center).

Members who join later can’t see events created before they joined, even pinned ones. To include them, you delete the event and create a new one (WhatsApp Help Center), and everyone answers the new one.

The workaround for guests outside a group is an event in each one-to-one chat. That works, but forty guests means forty separate events and forty places to check. Our guide to sending WhatsApp invitations without a group covers the other options.

Four answers and nothing else

The event form has the fields listed above and an Allow guests switch. There is no place for your own questions (WhatsApp Help Center). Allow guests adds exactly one person per answer, so a family of five can’t say so in the event.

Hosts fill the gap with a poll for party size or meal choice. A poll is separate from the event, so you match two sets of answers by hand. Its voter names show unless the creator turns on Hide voter names, and then nobody, the creator included, sees who voted (WhatsApp Help Center). Allergies are better asked privately; see how to collect dietary requirements.

Nobody chases the silent

The notifications go to people who answered Going or Maybe (WhatsApp Help Center). WhatsApp’s help pages describe nothing that reminds the people who haven’t answered at all, and they are usually the ones you need to hear from. You compare the answers with the member list and message the rest yourself, as our guide to getting a headcount in a WhatsApp group explains. For wording, see RSVP reminder message examples.

One host, answers in the app

An event has one host. WhatsApp says it isn’t currently possible to have a co-host, and only the creator can edit, cancel or pin it (WhatsApp Help Center). If the organiser is ill the week of the event, nobody else can update it.

The answers live inside the event. WhatsApp’s help pages describe no way to download or export them, so the number you give a caterer or venue is one you count off the screen. There is no door list either: on the night, someone checks names from memory or a list they typed up.

Everyone sees who is coming

Events were designed so “the whole group knows who is coming” (WhatsApp). That suits friends. It suits less well a committee inviting members, a host inviting colleagues and family to the same dinner, or anyone who would rather not say no in front of the group.

When WhatsApp Events is enough

Use Events on its own when all of these are true:

  • Everyone you want is already in one group, and nobody new is joining.
  • You need a rough count, not one a caterer will bill you for.
  • The only question is whether they’re coming, plus perhaps one guest.
  • Guests don’t mind the group seeing their answer.
  • One person is organising, and will chase the quiet ones by hand.

Six friends planning a dinner, a team’s Friday drinks, a family call: post an Event and you’re done. You don’t need a tool, ours included. Our own list of the events Avently doesn’t suit is in when Avently isn’t the right tool.

When you need an RSVP tool

You need more than Events when guests are spread across groups or in none, when you need party sizes, meal choices or allergies, when the number goes to a caterer or venue, when several people share the organising, or when someone has to check guests in at the door.

Most RSVP tools answer that with a link. The guest gets a message, taps through to a web form and answers there; a reply typed in the chat may not count. That works, but it takes the guest out of WhatsApp, which is the place they were happy to answer. The difference is covered in WhatsApp RSVP bots: how they work, and in our Avently and QuikRSVP comparison.

How Avently fills the gaps

Avently keeps the answering inside WhatsApp, like Events, but each guest answers in their own chat, and the answers end up in a guest list you own.

  1. Step 01

Every guest gets their own invitation

Avently sends each guest on your list a WhatsApp invitation by name from its own WhatsApp Business number. Guests don’t need to be in a group or to have saved any number, and nobody sees who else was asked.

  2. Step 02

    Guests answer in the chat

They tap Yes or No. The guests who say yes then answer your follow-up questions, such as party size or dietary needs, from buttons or a list in the same chat. See interactive WhatsApp invitations for how those look.

  3. Step 03

Every answer lands in your Google Sheet

Avently writes each reply into a guest list in your own Google Drive as it arrives, and the dashboard shows who is coming, who declined and who hasn’t answered. The sheet is yours to share, sort or hand to a caterer.

  4. Step 04

Reminders go only to the guests who haven’t replied

You send up to 2reminders, and they reach only the guests with no answer. Guests who said yes get an event page with the venue, a map and add-to-calendar buttons, and events you pay for include door check-in from volunteers’ phones.

The limits are worth knowing. Event invitations can’t reach US phone numbers, an event takes up to 250 guests, and the first message uses fixed wording that WhatsApp approves; your own words go in the welcome and the questions. The first 25 invitations each month are free, and Unlimited starts at $79 CAD a month. Rates in between are on the pricing page. For a broader view, see how to collect RSVPs over WhatsApp.

Common questions

Can WhatsApp Events replace an RSVP tool?

For a casual get-together inside one group, yes. WhatsApp Events records Going, Maybe and Not going, allows one extra guest each, and notifies the people who said Going or Maybe. It can’t invite anyone outside the chat, ask follow-up questions such as dietary needs, remind the people who haven’t answered, or give you a guest list to export.

Can I invite people who aren’t in the group to a WhatsApp event?

No. WhatsApp’s Help Center says you can’t invite people who aren’t in the chat or group, and you can’t forward an event to another chat. Members who join the group later can’t see events created before they joined, so you have to delete the event and create it again.

Can a WhatsApp event ask about dietary needs or plus-ones?

Plus-ones, partly: if you turn on Allow guests, each person can answer Going with guest, which adds one person. There is no way to add your own questions, so dietary needs, party size and meal choices go in a separate poll or in private messages.

Does WhatsApp remind people who haven’t responded to an event?

WhatsApp notifies people who answered Going or Maybe when the event begins, and the creator can set earlier reminders. WhatsApp’s help pages describe nothing that chases members who haven’t answered, so you message them yourself.

Can a WhatsApp event have co-hosts?

No. WhatsApp’s Help Center says events are hosted by the event creator and it isn’t currently possible to have a co-host. Only the creator can edit, cancel or pin the event.

Is there an RSVP tool where guests answer inside WhatsApp?

Yes. Avently sends each guest their own WhatsApp invitation by name, with Yes and No buttons. Guests who say yes answer your follow-up questions in the same chat, every answer goes into your Google Sheet, and you can remind only the guests who haven’t replied. Guests don’t need to be in a group. Invitations can’t reach US numbers.

When your guests aren’t all in one group, Avently asks each of them by name in their own WhatsApp chat, writes every answer into your guest list, and reminds only the guests who haven’t replied.
